Using the D2L File Converter to prepare ACSCII file (Scantron data) for upload to D2L Grades area.

The UW-Milwaukee Testing Center provides machine-scanning services for classroom exams, standard scannable forms are also known as Scantron sheets. This tutorial will show you how to use the D2L File Converter to prepare the Testing Center generated ACSCII file (.asc files) for upload to D2L Grades area.

Go to D2L File Converter at: https://www4.uwm.edu/ltc/d2l_converter_new/login/index.cfm

  1. Enter your ePanther [Username] and [Password].
  2. Click [Login].

Option #1 - If you have already setup your D2L Gradebook and you have a Grade Item for this exam, in the [Name] field, enter the name of the Grade Item EXACTLY as it appears in your D2L Grades area.

Option #2 - If you DO NOT have a Grade Item for this exam in your D2L Grades area, in the [Name] field, enter the name of the exam as you'd like for it to appear in your D2L Grades area.

  1. Based on Option #1 or Option #2, enter the [Name] of the exam.
  2. Under [Points per Question], enter 1.  Regardless of the number of points per questions you had on the exam.
  3. Click the radio button next to [Everything].
  4. Click [Browse].  Navigate to the location of the ACSCII file (.asc files) you received from UW-Milwaukee Testing Center.
  5. Click [Submit].

You'll receive results for the "resolved" exam scores and the exam results with "errors."  Both reports will be formatted as Comma Delimited (.csv files).  The "resolved" exam scores can be upload to D2L after checking the data in MS Excel.  

The exam results with "errors" are the scores from students who did not enter their Student ID numbers correctly on the Scantron sheets when taking the exam.  The data for these scores cannot be keyed to the students, so scores will need to be entered into the D2L Grade Item manually.

  1. To begin checking the "resolved" exam scores in MS Excel, click [Export] below "Download resolved."

Depending on your computer and browser configurations, you should receive an option to open the .CSV file using Microsoft Excel.  

  1. Ensure [Open with Microsoft Excel] is selected.
  2. Click [Okay].

If you are not prompted to open the .CSV file, locate the downloaded file and open with Excel.

Once opened in Excel, you'll see the following columns:

  1. The [Username] columns help D2L connect the students grades with the grade items.  Don't make changes to either column or D2L will not successfully connect the correct grades with the correct student.
  2. The [Last Name] and [First Name] can be used to key student grades.  Don't change the names in this column.
  3. The Scantron scores with be listed in a column headed with the name you entered in Step #2.
  4. The [End-of-line Indicator] column tells D2L that there are no other items to import.  The [End-of-line Indicator] column MUST BE THE LAST COLUMN in the spreadsheet in order to successfully import the grades back into D2L.

If there is additional columns displayed after the [End-of-line Indicator] column, these will need to be deleted before uploading to D2L.

  1. Highlight all columns after Column E, RIGHT click the column headers and click [Delete] in the menu.

Verify that the [End-of-line Indicator] column is the last column in the spreadsheet and save the spreadsheet.

  1. Depending on your version of Excel, you will go to [File] and click [Save].

To Upload the "resolved" exam scores into the D2L Grades area, log in to D2L (http://d2l.uwm.edu) using your ePanther ID and password. Go to your D2L course site by clicking on the name of your course.

  1. Once you are in our course, click on [Grades] in the upper navigation bar.

  1. From the [Enter Grades] tab, click on [Import].

  1. Click the [Browse...] button, navigate to the location on your computer where you have saved the .CSV file in Step #7 and select the file.
  2. Option #1 - If you already have a Grade Item for this exam, DO NOT check the box in front of [Create new grade item when an unrecognized item is referenced].  Option #2 - If you DO NOT already have a Grade Item for this exam and need one to be created, DO check the box in front of [Create new grade item when an unrecognized item is referenced].
  3. Click [Continue].

If you checked the box in front of [Create new grade item when an unrecognized item is referenced] in Step #10, you'll receive the [Create New Grade Items] options.

  1. Ensure that the new grade item will be created as the correct grade type.  If you want the new item to be a type other than "Numeric" pull down the menu under [Type] and select the correct item type.
  2. Click [Continue].

If necessary, you may adjust the grade properties for the new grade item:

  1. You may add the new grade item to a grade [Category].
  2. You may change the [Maximum Points], or change the [Weight].  
  3. If the grade item has extra credit (e.g. an exam with extra credit) and the students could potentially receive more that the maximum number of points, check the [Can Exceed] box.  If the item, itself, is extra credit, check the [Bonus] box.
  4. When the new grade item's properties are accurate, click [Continue].

If the D2L File Converter was successful, you should receive a 'No errors or warnings found."

  1. Click [Continue].

You'll receive a preview of the imported grade data.

  1. Click the [Import] button to complete the import process.

To manually enter scores for students who did not enter Student ID numbers correctly when taking the exam, return to the "Results and Error" screen of the D2L File Converter tool.

  1. Click [Export].

  2. Once a student is identified, the student's score can be found in Column D.

  1. To manually enter the student's grade in D2L, from the [Enter Grades] tab, click on the down-arrow to the right of the exam.
  2. Click [Grade All].

  1. Identify the student's name and enter the score as found in the "errors" spreadsheet.   Repeat Step #7 and Step #19 until all student scores have been entered.
  2. When all scores have been entered, click [Save and Close].
